Responsibilities:
Office Assistant provides onsite office and administrative support, as well as front desk reception duties as required.
Managers/Functional Leadership Teams in the US region and supports team activities when required.
Requires problem solving skills and the ability to respond and communicate to the appropriate parties when an incident occurs.

power outage, safety incident) Requires a pro-active approach to monitoring surroundings.
Answer all incoming phone lines, ensure messages are received and relayed accurately.
Answer customer questions or direct them to the appropriate employee Schedule, change, coordinate and prepare all appointments requested by managers.
Distribute and file all relevant documents and information as requested Do phone inquiries when needed.
Compose correspondence/reports for own or managers signature.
Prepare and finalize presentations, reports etc as requested Update and chase delegated tasks to ensure progress to deadlines.
Arrange meetings and meeting facilities; Arrange travel and accommodation (including robust travel plans & itineraries); Support in expense claims Arrange office facilities.
Anticipates needs and proactively acts in partnership with relevant functional Leadership Interacts with management, supporting corporate/organizational projects, processes, events, catering and business needs relevant for the department Makes meeting arrangements and prepares agendas for department and other meetings while coordinating logistics (e.
g.
Functional/Site LT Meetings etc) Create Purchase Orders Ensures that new hires are set up with all necessary tools and equipment to begin a successful first day.
Copying, scanning, and filing documents.
Monitoring office supplies and ordering replacements Sort and deliver mail and faxes in a timely and confidential manner.
Prepare and post all outgoing mail.
Ensure that equipment for safety orientation is functioning and items necessary for completion of the orientation are available.
Also, maintain required log and validation dates.
Front reception duties as required, including keeping the reception area tidy and observing professional etiquette, greet visitors and ensures that they sign in and a visitors pass is issued.
Requirements:
Admin experience, customer service experience, familiarity with MS Office Suite including Teams.
